What is “My Listings, My Leads”?

“My Listings, My Leads” means that all inquiries from KW.com concerning KW listings will be routed to the KW listing agent.

 

With this new approach to lead routing, we are honoring the listing agent to the highest extent possible. This is a grand departure from the general use of an Internet Data Exchange system, also called an IDX, in which the website owner would normally receive all leads generated from their website – regardless of who owns the listing data.

 

As an agent-centric company, we feel this way of re-defining IDX is the correct way to support the business of our Keller Williams listing agents who do so much for our company.

 

How does KW.com determine the market center for displaying consumer property search results?

  • For leads that come in via KW.com – visitor searches are routed to the appropriate market center’s website to search for properties. ***
  • Inquiries on Keller Williams listings generated from individual market center websites are routed to the Keller Williams listing agent (even if that agent is not with the market center that generated the lead). For routing inquiries on listings that are not KW listings, individual market centers will determine their own method for routing inquiries.
  • All visitor inquiries made from agents’ eAgentC websites are routed to the agent who owns the website.

 

*** I want to know more specifically how KW.com selects the market center?

 

If a consumer on KW.com searches for a property based on postal code, KW.com checks for any market center with that service postal code (which is dictated by market center franchise agreements and specified as the “Service zipcodes” in the White Pages).

    1. If there is an exact match, the consumer is routed to the market center page with search results (or properties page in non-WNT markets)
    2. If more than one market center matches the postal code:
      1. KW.com performs a statistically random selection when there are one to five eligible market centers
2.       For six or more market centers, KW.com presents a Google map to the consumer to allow them to select the office location best suited to meet their needs
    1. If no MCs are found, KW.com searches over a 10 mile radius from the postal code, and routes according to 1.b.1 and 1.b.2 above.
    2. If no MCs are found, KW.com searches over a 20 mile radius from the postal code, and routes according to 1.b.1 and 1.b.2 above.
    3. If there are still no market centers found, KW.com expands the search to 50 miles, and routes according to 1.b.1 and 1.b.2 above.
    4. If there are no matches, KW.com presents a broad Google map for the consumer to choose another area.

2.       If a consumer on KW.com searches for a property based on city and state:

a.       If the city/state matches a current KW Metropolitan Area, KW.com presents a Google map to the consumer to allow them to select the office location best suited to meet their needs

b.       If the city/state does not match a current KW Metropolitan Area:

      1. KW.com looks for an exact city/state match with a market center (based on market center profiles in the White Pages)
        1. If just one market center profile matches the city/state specified, KW.com routes the search to this market center.
        2. If more than one market center matches the city/state:
          1. KW.com performs a statistically random selection when there are one to five eligible market centers
          2. For six or more market centers, KW.com presents a Google map to the consumer to allow them to select the office location best suited to meet their needs
        3. If no MCs are found, KW.com searches over a 10 mile radius, and routes according to 1.b.1 and 1.b.2 above.
        4. If no MCs are found, KW.com searches over a 20 mile radius, and routes according to 1.b.1 and 1.b.2 above.
        5. If there are still no market centers found, KW.com expands the search to 50 miles, and routes according to 1.b.1 and 1.b.2 above.
        6. If there are no matches, KW.com presents a broad Google map for the consumer to choose another area.

 

Do I have to use an eAgentC agent website to get leads from KW.com?

No, you do not have to use the eAgentc agent website.  All leads will be funneled to your market center, and your market center will then determine how and to whom leads will be assigned. However, even if you have a custom agent website, you can additionally use your eAgentC website as a niche market website to supplement your custom website. Remember – it’s free!

 

Why am I not getting leads from KW.com?

KW.com routes all consumer property searches to market center websites for response.  Check with your market center on the number of leads coming through and the method of distribution for online leads to make sure you meet local requirements.

 

If a consumer performs multiple searches on more than one market center website, and with more than one KW listing agent, whose client do they become?

On KW.com, a consumer is free to conduct multiple property searches, and browse listing details from potentially more than one KW listing agent. We allow this open access in accordance with industry best practices – to encourage as many consumers as possible to access our market center websites and featured listings from KW listing agents.

 

It is possible that a consumer can inquire with multiple associates or market centers. This is not unlike a situation in which a consumer calls two Keller Williams Realty yard signs that represent two different market centers, even though they are in the same residential community.

 

The eAgentC market center and agent websites include a WolfNet Back Office tool, which allows you to enforce consumer registrations and also to email consumers who have registered on your website. The best way to keep an online consumer is to be the first to cement the relationship with the consumer when they are ready to be contacted. The WolfNet Back Office provides the capabilities of monitoring traffic, managing user accounts, and communicating with those who register. We highly recommend making the most of this tool in order to capture online leads when they come to your website!

 

What is the correlation between service areas and KW.com lead routing?

Service areas as used in the past work differently with the new lead routing. In the past, you have defined a list of neighborhood terms via the KW Intranet>My Information> My Website>Edit Service Areas. Service areas will continue to affect the office and agent searches on KW.com, but not the property search.

 

The more relevant settings for KW.com property searches include:

  • Market center zip codes – this is a list of zip codes defined by your franchise territory agreement. These zip codes determine whether or not your market center matches the area being searched on KW.com by a consumer.
  • KW display terms – these terms are not used to determine a market center’s search eligibility; rather they are for the consumer’s convenience only. When a consumer sees multiple market centers on KW.com’s metro area map, the consumer can mouse over a market center to view neighborhoods of specialty for the market center.

 

Note: Market center zip codes and KW display terms do not limit the areas in which a market center or agent can do business. They simply provide direction for the initial property search performed by the consumer. The zip codes help to get the consumer to the market center most able to assist according to original franchise territories; usually property searches are refined from there, and can include a wider or a more narrow area.

 

What if an agent services different areas and postal codes from his/her market center?

 

Each market center’s postal codes – as defined in the market center’s franchise agreement – play a key role in determining eligibility for the market center to process consumer search results. This does not mean that a market center or its agents are limited to do business only within these areas.

 

If a market center wants to change their service postal codes, this must be requested through the Franchise Relations Department at KWRI.

 

How do searches for agents, offices, and properties differ?

  • Agent and office searches are based on the old market center service areas.
  • Property searches are based on the new market center zip codes.

 

Why do different results appear when I do zip code search versus a city & state search?

A zip code search is a more specific search than the city/state search, which makes it easier to pinpoint the market center. The city/state search in most cases will find more market centers in the same city, than the zip code search will.

 

Why does KW.com make the consumer pick an office in order to conduct a property search?

 

For the occasions when there are multiple market centers in a dense metropolitan area, we wanted to give consumers more control over which office or area of town to work in. Instead of doing an automated office selection, we offer consumers the opportunity to select the office to work with from a Google map.

 

However, there are some geographic areas where this may not make sense. If this is the case for your market center, we are providing the option for your entire metropolitan area to opt out, and instead to use an automated selection of market center by KW.com.

 

The process for doing this is the following:

 

1. Get agreement from all market centers that are included on your area’s metropolitan area map.

2. Create a list representing all market centers that have signed off on the decision to use an automated selection instead of the metropolitan area map. This list must include: market center number, TL or OP name, TL or OP phone number, TL or OP email.

3. Email this list to kwleadrouting@kw.com.

4. Once we have been able to confirm this decision from all market center leaders in your list, we will replace your area’s metropolitan area map with an automated market center selection and notify all area market centers via email.

 

How does a market center specify the email address for receiving online leads?

By default, all market center online leads will be sent to the market center’s klrw#@kw.com email address. Our suggestion to you is to create a rule in Outlook to archive these emails to a special folder for online leads (just to maintain a record of these leads). And in addition, to use the Cc: or Bcc: fields in your market center’ website’s WolfNet Back Office account to indicate a different email address for immediate response to these online leads.

 

To provide an additional email address for leads:

  1. Go to the WolfNet Back Office:  http://www.mlsfinder.com/admin/.
  2. The login for your market center’s Back Office account was emailed to the market center previously. If you do not know this login, email support@kw.com for assistance.
  3. Click on Contact Information.
  4. The Email field – which was previously editable – is now locked down. The reason for this is that we want to ensure that you receive all leads that are coming to your market center. By tightening security in this area, we are ensuring that all leads stay within the market center.
  5. Use the Cc: and Bcc: fields to indicate any specialized email account to which you want online leads to be distributed (in addition to your market center’s email account).

I’ve seen another market center website property search that has a searchable map on the front page – how can I get this on my website?

This map interface is an add-on product from WolfNet Technologies called Map Tracks. This product adds a map-driven, highly interactive, and easy-to-use navigation to your property search feature. Map Tracks provides a significant enhancement to the consumer’s experience. It reduces the number of clicks for consumers to get their property search results, and this is a great advantage to have over your competitors.

My business center is missing from the metro area map

All leads from KW.com are considered to belong to the market center, and the market center can distribute them as they see fit. While we have worked with WolfNet to create IDX solutions to be used by business centers, we consider leads for business centers to be leads for the sponsoring market center.

 

My property listing is missing information (ie photo, contact info, etc).

With the re-launch of KW.com’s lead routing system – called My Listings, My Leads – we are looking for every opportunity possible to highlight KW listings on our websites and to generate leads for KW associates. We have discovered some inconsistencies with the way that several MLSs feed agent data into IDX.

 

Here is the scenario to look for:

In some MLSs, if there is no MLS ID number for the agent, some of the agent’s contact information in their property listing may been missing from the IDX display. The details vary from MLS to MLS, but if you hear of an agent whose listing is missing agent-specific information (such as a photo or contact information), check that their associate profile contains a valid MLS ID number.

 

To add or check your MLS ID number, go to:

KW Intranet - White Pages – Associate Information – and click on the link to ‘Update MLS Info’ at the top of the screen.

 

If you do not have an MLS ID, or if it is not a valid MLS ID, email your MCA about changing this within the system.

 

My listing shows up in the KWLS but not in the IDX property search results on KW.com.

In order for the listing to be displayed in an IDX property search, it must be an active MLS listing. The listings that come from IDX are directly from the MLS, so if there is a KWLS listing that has not been entered into the MLS yet, or has expired or been removed from the MLS, it will show up in the KWLS but not the IDX search.

I want property searches to go to my custom market center website, and not my KW market center website template.

You can specify for office and agent searches to go to your customer website, but not property searches. The process for routing leads requires market center website templates at this time.
