Overview:
The Intranet Roster management
tools can be accessed via the Intranet in the Assistant MCA, MCA,
Team Leader, Assistant Team Leader and Operating Principal profiles.
Simply login to the Intranet at http://intranet.kw.com
, click on My Information and select the subheading Intranet
Roster.
Please review this document
carefully before editing, or removing roles from associates for
the first time.
Intranet Roster
Page
The Intranet Roster page
is your home page for all personnel changes on the Intranet. Across
the top you'll find the internal navigation with links to the Search
page, and this Help document.
The Intranet Roster Page
also lists all associates currently in your Market Center who are
status Vested Retired, Active or Print Only in the MORE System.
From left to right, the Intranet Roster page lists five important
components of each associate profile:
- Name -- Names are listed in alphabetical order
according to last name. Each name displayed is an active link
to that associate's Intranet Profile for editing purposes.
- MORE ID -- The MORE ID
in the Intranet database should always match the MORE ID in the
MORE system or that associate will be unable to access the Intranet,
enroll for KWU classes, or register for Family Reunion online.
If you are unsure, print the AGENT_LIST in MORE and check
each record listed.
- Email -- This is the associate's current Contact
Email. This should always be up-to-date, as the Contact Email
field is listed on Agent and Market center Template Web sites
and is also used for all company communications from KWRI.
- Roles -- Roles reflect an associate's current
Intranet access in your Market Center. Multiple roles are not
uncommon for MCAs, Team Leaders, and Operating Principals.
(1) Editing Associate
Profiles
To edit an associate profile,
follow the steps below:
- From the Intranet Roster page, click on the name of the associate
you wish to Edit .
- Once the Associate Edit screen has launched, you can
edit any open field you wish. Associates can be added to or removed
from Roles by checking or unchecking the roles on the top of the
page.
- "Share Agents Listings With"-No longer a valid field as Co-Marketing has taken its place.
- "Update
Associate MLS Info" is where an associated MLS id
is placed so listings from either the data aggregator feed or
the MLS FTP feed are linked with the agent they belong to and
fed to the agents website. If you are an MC using the vendor frame-in
solution, that solution also relies on having the Associate MLS
ID in place. The agent will receive the error "You
have no MLS ID" if it is not on their profile.
Without
the MLS id added, the agent will not be able to add or edit listings
manually. If the MCA, TL or OP see the error "You
Have No MLS id on File" then please contact Support@kw.com
and insure they have your broker code information.
Click on Update Associate MLS Info
Click on Add Associate MLS Info
Your local MLS information
should show on the top drop down menu, if you belong to 2 MLS'
please insure
you are choosing the correct one for the
agent.
Type in the Agents MLS id in the blank space available.
Be sure to click Add when done
- "Update
Associate Photo" can be utilized for adding an agents
photo to both the Market Center site and will default to
"Photo 1" on the agents website:
Click Update Associate Photo
Browse for the Photo
Find the photo on your hard drive or wherever it was saved
Click on the Photo Attachment and click Open
Submit the Photo
Click the Update Associate Info
button
A confirmation Page
will appear once the edit has been saved in the database. Click
Continue to return to the Intranet Roster page.
Note: The KWRI
database updates the live site every hour on the hour. This process
takes approximately 20 minutes. New USERNAMES, SSNS, MORE IDS or
ROLES will prevent login until this occurs.
(2) Removing Associate
Profiles
If an agent leaves or transfers
out of your office, you will need to remove them from your Intranet
Roster (the removal process out of WinMore needs to be completed
to insure the agent is completly removed from your systems) . Follow
the steps below to remove an associate:
- From the Intranet Roster page, click on the name of the associate
who needs to be removed.
- Once the Associate Edit screen has launched, remove all roles
for that Associate by unchecking the corresponding boxes at the
top of the record.
- When none of the boxes have checks, click the Update Associate
Info button.
- A confirmation Page will appear once the removal has been saved
in the database. Click Continue to return to the Intranet
Roster page. The associate's name should no longer appear on your
Intranet Roster.
If the associate leaving
your office is Vested Retired and NOT transferring to another office,
assign them the Vested Retired role described below in section (4)
Assigning the Vested Retired Role.
(3) Transferring
In Associates
When an associate transfers
from another Market Center, they will need to be Transferred In
to your Intranet Roster (Please insure the transfer process out
of WinMore has been completed prior to accomlishing this task).
A Transfer In is different from Adding an Associate in that
it is assumed the associate has a preexisting Intranet Profile.
You can Transfer In Associates
by following the steps below:
- From the Intranet Roster page, click the Search link
at the top of the page.
- From the Search for an Associate page, enter your
search criteria (First Name, Last Name, More ID, or Social Security
Number) and click Submit .
- Once the Search is complete:
- If there are too many search results, slick Search
again to add additional criteria to narrow your search.
- If the Associate profile appears, click on the Associate's
name to Transfer In their profile and proceed to
step 4 below.
- Once the Associate Edit page appears, assign the Associate
the proper roles in your Market Center (e.g. Agent, Assistant
MCA, Team Leader, etc.) by checking the appropriate boxes.
- Verify that the fields highlighted in red match your MORE records
(especially the MORE ID) and click the Update Associate
Info button
- A confirmation Page will appear once the addition has been saved
in the database. Click Continue to return to the Intranet
(4) Assigning
the Vested Retired Role
If the associate leaving
your office is Vested Retired and NOT transferring to another office,
assign them the Vested Retired role by following the steps below:
- From the Intranet Roster page, click on the name of the associate
who needs to be Vested Retired .
- Once the Associate Edit screen has launched, remove all roles
for that Associate by unchecking the corresponding boxes at the
top of the record and then check the Vested Retired
role.
- When only the Vested Retired role is checked, click
the Update Associate Info button.
- A confirmation Page will appear once the change has been saved
in the database. Click Continue to return
