'Assign Listings' is a way to associate an agent's MLS ID with their Keller Williams profile. The MCA only needs to associate an agent with one listing under the agent's MLS ID for all future listings entered under that ID to appear on the agent's Web site. NOTE: Agents who enter listings in more than one MLS may have more than one ID, so a listing for each ID will have to be "assigned" for all their listings to appear under their name.

The 'Assign Listings' process is tedious but serves a good purpose. Here's an example of the problem: The person who we know as William Brown may also be known as Bill Brown in our MLS data. Furthermore, there may be a Bill and a William Brown in a large office. If we automated the process, we would always run the risk of associating the wrong agents with listings.

At least once a week, you should check the 'Assign Listings' section, especially if you have recently "Transferred In" or "Added New" associates. If an agent changes their MLS ID with your knowledge or becomes a member of another MLS in your area, they will also have to be 'Assigned'.

Getting Started:

  1. The MCA will need to login to the KW Intranet: http://intranet.kw.com

  2. Click on the 'My Information' tab, and then click 'Office Information' link

 

The 'Assign Listings' process:

  1. Click on "Assign Listings " link.

  2. Find the MLS number of the listing in question.
  3. Select the listing by clicking on the "assign" link to the left. This should send you to a new page with a long list of your agents.

  4. The program will suggest a Match at the top of the page. It is normally correct. If it is the correct agent, simply click in the radio button (circle) next to their name making a black dot appear, scroll to the bottom of the screen, and click the "Assign Listings" button.
  5. Successfully completing the operation should return you to the home page.

Additional Information

  • It is important that once an individual listing is assigned to an agent, it automatically assigns all subsequent listings with that same MLS ID to that particular agent.
  • The MLS ID will automatically add itself to the agents’ profile in the Roster Tool.
  • It is also important to note that if a listing is mistakenly assigned to an incorrect agent,  the new assigned MLS ID will also be incorrect.

 

The ‘Un-Assign Listings’ process

  1. To fix this, back out of the Assign listings tool and select Un-Assign listings from the same menu (under: My Information, Office Information)
  2. Select the Agent that was mistakenly assigned to the wrong MLS ID from the list.
  3. Click on the ‘Un-Assign Agent’ button at the bottom of the screen.
  4. Repeat the steps for ‘Assign Listings’ (above) to assign the correct MLS ID to the agent.
